Cancellation & Refund Policy

Overview

This Cancellation & Refund Policy applies to all therapy sessions, assessments, and programmes offered by Dimensions Centre for Child Development ("DCCD") at our Bengaluru and Coimbatore centres. By booking a session or programme with us, you agree to the terms outlined below.

Session Cancellations

  • 24-Hour Notice Required: We kindly ask that all cancellations be made at least 24 hours before the scheduled session. This allows us to offer the slot to another family on our waiting list.
  • Late Cancellation (within 24 hours): Cancellations made less than 24 hours before a session will be charged at 50% of the applicable session fee, except in cases of documented medical emergencies.
  • No-Show: If a session is missed without prior notice, the full session fee will be charged.
  • Rescheduling: Sessions may be rescheduled at no charge if notice is given at least 24 hours in advance. We will do our best to accommodate your preferred alternative slot, subject to therapist availability.

Assessment Fees

  • Non-Refundable Once Conducted: Initial comprehensive assessment fees are non-refundable once the assessment has taken place, as they cover clinician preparation, administration, scoring, and written reporting.
  • Cancellation Before Assessment: If you cancel your assessment appointment at least 48 hours in advance, any prepaid fee will be refunded in full. Cancellations within 48 hours of the assessment will incur a 50% administrative charge.

Prepaid Session Blocks

  • Unused Sessions: If you have prepaid for a block of sessions and wish to discontinue, unused sessions are refundable upon written request, minus a 10% administrative processing charge.
  • Completed Sessions: Fees for sessions that have already been delivered are non-refundable.
  • Expiry: Prepaid session blocks must be utilised within six months of purchase. Unused sessions beyond this period are forfeited unless an extension is agreed in writing.

Medical Emergencies & Special Circumstances

We understand that families face unexpected situations. In the event of a hospitalisation, serious illness, or other documented emergency, late-cancellation charges may be waived at the discretion of DCCD management. Supporting documentation (e.g. a medical certificate) may be requested.

DCCD-Initiated Cancellations

  • Centre-Side Cancellation: In the rare event that DCCD must cancel a confirmed session, you will be notified as soon as possible and offered a priority reschedule at no additional charge. If rescheduling is not possible, a full refund for that session will be issued.

How to Request a Refund or Cancellation

All cancellation and refund requests must be submitted in writing — either by email to info@dccdglobal.com or in person at our front desk. Please include your child's name, the session date(s) in question, and your reason for the request. We aim to process all approved refunds within 7–10 business days to the original payment method.

Changes to This Policy

DCCD reserves the right to update this policy from time to time. Any changes will be published on this page and communicated to existing clients where applicable. Continued use of our services after changes are posted constitutes acceptance of the revised policy.
